Click on your “Dashboard” and then, click into the grant cycle card under “Submissions” for the grant cycle you plan to send notifications for
The bulk button should appear in the submissions table before the download button on the top right side of the table.
You will only see the option to send bulk emails if at least one declined application with “Email Status” is marked as “Not sent”. If not, the button should be disabled.
When you click on the “Bulk” button, all declined applications with “Email Status” = “Not sent” will appear in the declination preview with a carousel and a page for each application. The following information and fields will be displayed for each email as well:
Recipients:
- To: Applicant contact email + Fiscal sponsor email (if applies) by default
- Cc: Empty by default
- Bcc: Empty by default
Email Preview:
- Declination templates dropdown with the default selected but with the possibility of changing it
- Declination template preview selected above
You’ll be able to move through the series of pages to confirm if each recipient is correct or to add a CC or BCC recipient. If any email has no recipients, an error message will appear after clicking the “Send” button for that case. There will be the possibility of sending them in bulk again. A success message will appear for emails sent successfully with the corresponding actions.
If you click the “Send in Bulk” button, the declination preview will appear again with a carousel and a page for each application where missing emails could be set. You can then follow the same steps and send out the declination emails.
