Notify applicants

How it works

Once decisions are marked, the Notifications tracking card in the Applications tab shows how many applicants are pending notification. Award emails are sent individually. Declination emails can be sent individually or in bulk.  

Why it matters

  • Customize your messaging: Create and edit email templates so every notification reflects your fund's voice.
  • Communicate with care: Timely, clear notifications help applicants understand outcomes and plan next steps.

Notify applicants

1. Set up award and declination email templates in the Communication tab of your cycle. 

2. Go to the Applications tab and click the Notifications tracking card to filter to applications pending notification.

3. Send award emails 
  • Click the send email icon next to an awarded application. 
  • A modal will appear to confirm your template, review and update recipients, and send. 
  • Note: The applicant contact and fiscal sponsor contact (if applicable) are included on all award emails by default. 
4. Send declination emails 
  • Click the send email icon next to a declined application. 
  • A modal will appear to confirm your template, review and update recipients, and send. 
  • To send declination emails in bulk, click the email icon at the top of the applications table. 
  • Note: The applicant contact is included on all declination emails by default. 

FAQs

  • Can I send award emails from somewhere other than the Applications tab? Yes. Award emails can also be sent from the funding table or submissions table in your Dashboard.
  • Can I change the recipients before sending? Yes. Add or remove recipients and CC or BCC addresses before sending. 
  • Can I resend a notification? Yes. Award and declination emails can be resent at any time by clicking the send email icon again.
  • How do I know if an email was sent? The email status column shows Sent. Hover over the status to view recipients.
  • Can I send award emails in bulk? Bulk sending is available for declination emails only. The bulk option appears when at least one declined application has an unsent notification.
